Budgeting
Conifer’s management team has developed a highly effective process for developing and monitoring operating budgets and business plans for each property. The process is initiated at the property level, reviewed at the middle management level, authorized by senior management and returned to the property manager for final approval. All budgets and business plans are reviewed on a monthly basis and amended as necessary to account for any significant deviations from budget.
Policies and Procedures
Conifer’s management team has developed a comprehensive Operations Manual consisting of a set of policies and procedures for exclusive use by Conifer associates. By adhering to this manual, Conifer is assured of achieving uniformity of message, training and performance. Sections of the manual include Personnel, Fair Housing, Compliance, Maintenance, Marketing, Leasing, and Resident Relations and Administration.
Maintenance
Conifer prides itself on maintaining the highest standards of maintenance and service for our residents. The process begins with diligent hiring practices, supported by effective education, training and management oversight. Our goal is to ensure that no resident work order remains outstanding for more than 24 hours. Our maintenance personnel also participate in the annual budget process and provide valuable input into each year’s capital improvement schedule. By making this commitment to our residents, we provide the highest caliber asset preservation to our investors.
Marketing/Leasing
A well managed property starts with a well thought-out marketing plan. Conifer’s highly creative team of marketing and leasing professionals consistently attract the most desirable residents for which the property was developed based on federal fair housing guidelines. All applications are then processed through our approved resident selection plan before acceptance.
Technology
Conifer makes effective use of the Internet by linking individual property web sites with coniferliving.com to facilitate information exchange and enhance the user’s online experience. These web sites are highly interactive to provide potential residential prospects with the capability to get their questions answered quickly while providing management with the information needed to initiate informed follow-up communications. In addition, Conifer utilizes a customized property management software that provides real-time access to important daily financial and physical data.
Bulk Purchasing
Conifer strives to reduce property-related expenses by maintaining bulk purchasing contracts with a variety of vendors. Our individual District Managers negotiate bulk service contracts within their regions to better service and share cost savings among their local properties. We continuously search for new opportunities to include in our bulk purchasing program.
Risk Management
Conifer recognizes the important role safety and loss control plays in influencing the quality of life of our residents, the well being of our employees and the strength of the bottom line. The Risk Management Department identifies exposures to property and casualty loss and works with our development, construction and property management teams to help eliminate or control these hazards. This team processes all property and casualty claims working to fairly adjust losses and protect owner's interests. The Risk Management Department enhances our overall management capabilities by negotiating insurance coverage and pricing, implementing safety and contractual risk transfer programs, and providing assertive claims handling.
Program/Regulatory Compliance
Conifer’s compliance team assists and supports the management operation as it relates to our various “affordable” financing commitments. Our compliance team offers training, ongoing monitoring and audit functions for Tax Credit, Bond, Section 8, Rural Development and other regulated programs.
Asset Management
Our asset management team offers critical oversight to help ensure investor goals and objectives are met. This group also conducts timely utility, real estate tax and property insurance reviews.
Accounting
Our accounting team utilizes Yardi Systems for monitoring on-site A/R and A/P accounting practices, producing timely and accurate financial statements for management and ownership review. Our accounting department works closely with outside accounting firms in the production of third-party audited financial statements and income tax filings as required.
Records are retained for the full term of any rental assistance contract and as further required by law. Accounting records are maintained in the Rochester Corporate Office by the accounting manager and controller. Tenant records are retained on site by the Community Manager.
Team
Conifer takes pride in hiring and nurturing the best and the brightest leaders in our industry. The property management staff consists of the Community Manager, Regional Manager and/or District Manager who report to the President of Conifer Management, LLC. In addition, there are several support positions associated with the property including highly trained maintenance technician(s), clerical/ administrative assistance, risk management, compliance and accounting. All team members ultimately work under the direction of the President of Conifer Management, LLC.
Conifer Management, LLC is further supported by many other in-house professionals in specialized fields such as Marketing, Risk Management, Development, Construction, Legal, Finance and Human Resources. A formalized training program is in place to provide our associates with the latest information to enhance their performance and the financial operation of the property.
